Who we are
The Sacred Temple is an online spiritual membership and community created and run by Emma Penman (known in the Temple as Emma Rose), a sole trader based in the UK. When this policy says “we”, “us” or “our”, it means The Sacred Temple. We are responsible for the personal information you share with us through sacred-temple.uk, our members’ area and our app, and we are what UK data protection law calls the “data controller” for that information.
If you have any questions about this policy or how your information is used, please email us at hello@sacred-temple.uk. Our postal address is The Arches, Rogers Hill Farm, Dorchester, Dorset, DT2 7HJ.
In short
We collect only what we need to run the Temple, look after your membership and support you on your path. We never sell your information, and we never share it with anyone for their own marketing. Your private journal is yours alone. The rest of this policy explains, in full, what we collect, why, who helps us, how long we keep it, and the rights you have.
The information we collect
Your account and membership. When you join the Temple, at any level, we collect your name, email address, a username and a password. Your password is stored in an encrypted form that nobody, including us, can read. We also keep a record of your membership level, when you joined, any changes to your membership, and your membership history.
Payments and billing. When you pay for a membership, a workshop or an event ticket, your payment is processed securely by Stripe. Your card details are entered directly into Stripe’s secure system and are never seen or stored by us. We receive and keep a record of each transaction, such as what you bought, the amount, the date, the last four digits of your card and its expiry date, and, where it is asked for, your billing name and address. We keep these records to manage your membership and because the law requires us to keep financial records.
Your private journal. If you use My Journal in the members’ area, the entries you write are saved securely in your Temple account so that they are available to you in our app and in any browser you log in from. Your journal is visible only to you when you are logged in. It is not shown to other members, and we do not read, analyse or use your journal entries for any purpose. Because journal entries can be deeply personal, and may include things like your spiritual or religious beliefs or your health and wellbeing, we treat them with particular care. You choose what you write, and you can edit, delete or download your entries at any time.
Events, workshops and gatherings. When you book a place at an online or in-person event, or sign up to attend, we collect your name and email address, along with any details the booking form asks for, so that we can confirm your place, send you joining details (such as a Zoom link), keep a list of who is attending and contact you if anything changes.
Messages you send us. When you contact us through the website’s contact form or by email, we collect your name, email address and whatever you choose to tell us, so that we can reply. Messages sent through the contact form are also kept in our website so we do not lose them.
Emails and newsletters. If you choose to receive our newsletter or updates, we collect your name and email address and use them to send you news, offerings and Temple updates. Separately, members receive emails that are needed to run their membership, such as welcome messages, receipts, booking confirmations and important changes to the service.
Your Sacred Oracle draw. The daily Sacred Oracle draw remembers which card you received today so that it can show you the same card if you return. This is stored only in your own web browser, on your own device, and is not sent to us.
Technical information. Like most websites, our site automatically receives technical information when you visit, such as your IP address, browser and device type, and the pages you view. Our security services use this information to protect the site and your account from attacks and fraud, and our statistics service uses it, in a privacy-friendly and aggregated way, to help us understand how the site is used.
Why we use it, and our lawful basis
UK data protection law requires us to have a lawful reason for each way we use your information. We use your account, membership, payment, journal and booking information to provide the membership and services you have signed up for, which is necessary to perform our agreement with you. This includes giving you access to the members’ area, saving your journal, processing payments, confirming bookings and sending you service emails.
We keep payment and transaction records because the law requires us to, for tax and accounting purposes. We use technical information to keep the website secure, prevent fraud and understand how the site is used, because we have a legitimate interest in running a safe and well-functioning website, and we make sure this does not override your rights. We reply to your messages for the same legitimate reason, or because you have asked us to do something before entering into an agreement with us.
We send newsletters and marketing emails only with your consent, and you can withdraw it at any time using the unsubscribe link in every email or by contacting us. Where your journal entries contain sensitive information, such as your beliefs or your health, we rely on your explicit consent, which you give by choosing to write and save those entries. You can withdraw it at any time by deleting your entries or asking us to delete them. Non-essential cookies are used only with your consent, as explained below.
Who we share your information with
We do not sell, rent or trade your personal information, and we do not share it with anyone for their own marketing. We share it only with trusted service providers who help us run the Temple, and only as much as they need to do their job. They act on our instructions and are required to keep your information safe.
These providers are: our website hosting provider, which stores the website and its information on secure servers; Stripe, which processes payments securely; Zoom, which hosts our online circles and workshops (when you join a Zoom session, Zoom’s own privacy policy also applies to your use of Zoom); our email newsletter provider (Klaviyo), if you subscribe to our emails; Automattic’s Jetpack service, which provides site statistics and performance and security tools; Wordfence, which protects the site and your account from attacks; Google, which supplies the fonts used on our pages and the maps shown on in-person event pages (your browser contacts Google to display these, which shares your IP address with Google); and our backup service, which keeps secure copies of the website so that nothing is lost.
We may also share information if the law requires it, to protect the rights, safety or property of The Sacred Temple, our members or others, or with professional advisers such as our accountant, who are bound by confidentiality.
Our shop, Sacred Earth (sacred-earth.uk), is a separate website with its own privacy policy. When you follow a link to it, its own policy applies.
International transfers
Some of our service providers, such as Stripe, Zoom, Google, Klaviyo and Automattic, are based in or use servers in other countries, including the United States. Where your information is transferred outside the UK, we make sure it is protected by appropriate safeguards required by UK law, such as the UK government’s adequacy regulations (including the UK–US data bridge) or the UK’s approved international data transfer agreements.
How long we keep your information
We keep your information only for as long as we need it. Your account, membership information and journal are kept for as long as you have an account with us. If you close your account, or ask us to delete it, we delete your account and your journal entries, except for anything we are required by law to keep. Payment and transaction records are kept for six years after the end of the tax year they relate to, as UK law requires. Event booking records are kept for up to two years after the event. Contact form messages and emails are kept for up to two years, unless they relate to an ongoing matter. Newsletter details are kept until you unsubscribe. Website backups are kept for a limited period and then automatically replaced, so deleted information may remain in a backup for a short time before it is overwritten.
How we keep your information safe
We take the security of your information seriously. Our website uses an encrypted (HTTPS) connection, passwords are stored in encrypted form, and payments are handled by Stripe so that we never see your card details. Access to the website’s administration is limited to the people who need it and is protected by login security. We use security services to block attacks, and we keep the website and its software up to date and regularly backed up. Your journal can only be read by you when you are logged in. No system can be guaranteed to be completely secure, but we work hard to protect your information, and if we ever became aware of a breach that put your information at risk, we would let you and the Information Commissioner’s Office know as the law requires.
Cookies and similar technologies
Cookies are small files stored on your device by your browser. We use essential cookies that are needed for the website to work, such as keeping you logged in to the members’ area, remembering your cookie choices and protecting the site from attacks. These cannot be switched off. We also use statistics and functional cookies that help us understand how the website is used and improve it, and these are used only if you agree to them in the cookie banner. You can change your choice at any time using the cookie settings button on the website, and you can also block or delete cookies in your browser settings, although parts of the members’ area may not work without essential cookies.
Our website also uses your browser’s own storage to remember your daily Sacred Oracle card, and to make our app work smoothly, including when your connection is poor. This information stays on your device.
Our app
The Sacred Temple app is an installable version of our website. It uses the same account and login as the website, so the information collected and the way it is used are exactly as described in this policy. The app stores some pages on your device so it opens quickly and can show a page when you are offline. Deleting the app from your device removes this stored information.
Your rights
You have rights over your personal information under UK data protection law. You can ask for a copy of the information we hold about you; ask us to correct anything that is wrong or incomplete; ask us to delete your information; ask us to restrict or pause how we use it; object to how we use it where we rely on our legitimate interests; ask us to transfer information you have given us to you or to another organisation in a commonly used format; and withdraw your consent at any time where we rely on consent, without affecting anything we did before you withdrew it.
Many of these you can do yourself: you can update your details in Your Profile, manage or cancel your membership in Your Membership, edit, delete or download your journal entries in My Journal, and unsubscribe from emails using the link in any email. For anything else, please email hello@sacred-temple.uk. We will respond within one month, and there is normally no charge. We may need to ask you to confirm your identity first, to make sure we are sharing your information only with you.
Children
The Sacred Temple is intended for adults aged 18 and over. We do not knowingly collect personal information from anyone under 18. If you believe someone under 18 has given us their information, please contact us and we will delete it.
Concerns and complaints
If you have a concern about how we handle your information, please contact us first at hello@sacred-temple.uk and we will do our best to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or by calling 0303 123 1113.
Changes to this policy
We may update this policy from time to time, for example when we add new features or services to the Temple. The latest version will always be on this page, with the date it was last updated. If we make significant changes that affect how we use your information, we will let members know by email or in the members’ area.
